Vendor/Exhibitor Information

Deadline for vendor registration is August 20th!

Thank you for your interest in participating in the second annual Hampton Roads VegFest on October 8, 2017, from 11 a.m. to 5 p.m. Last year’s inaugural festival attracted over 2,000 visitors, 10 corporate sponsors, 40 vendors, and five acclaimed speakers and featured local hit musicians, a vegan pie-eating contest, a kids’ zone, and much more (check out our highlight sheet here!). Most food vendors completely sold out of food, and other vendors reported very high levels of sales and interaction with attendees. This year, we plan to grow even bigger and anticipate over 3,000 guests from all over the Hampton Roads area and beyond. Our network throughout Virginia and North Carolina brings vegans, vegetarians, and omnivores together to provide maximum exposure for vegan-friendly non-profits, restaurants, and businesses in the Commonwealth. Just like last year, we plan to offer special events and entertainment for the whole family.

The deadline for vendor registration is August 20, 2017. These deadlines allow us to provide your business or non-profit organization with the most organized event possible. We recommend that vendors planning to distribute food apply early to ensure that all menu items are approved by the committee and the necessary health paperwork is approved in time for the festival.

The festival will take place at Chesapeake City Park, centrally located in Hampton Roads (900 City Park Dr. Chesapeake, VA 23320). Admission is FREE to the public and draws people across many demographics. 

Vendor registration fees are summarized below:

Vendors will be provided with the following:

  • One table
  • Two chairs

Notes: As this year’s VegFest is outdoors, there is limited access to electricity. Vendors who wish to purchase access to electric hookups may do so at a cost of $50 per 1,000 watts (minimum purchase: $25/500 W). Please note your electric needs in the contract below. For warming food, food vendors are encouraged to bring their own chafing fuel warmers.

Tents will not be provided, and vendors who wish to use a tent will need to bring their own. Please note that vendors who reserve a 6×6′ space and wish to use a tent must bring a compact 6×6 tent (such as this one available at Home Depot or this one on eBay).

Important information for food vendors:

  • Hampton Roads VegFest is a vegan festival promoting a plant-based, cruelty-free lifestyle. No products of animal origin or use  (i.e. meat, dairy, eggs, honey, leather, fur, wool, silk, down, or products tested on animals) may be promoted or sold at this event.
  • All food vendors are responsible for complying with the City of Chesapeake’s requirements for temporary food service establishments, including obtaining a temporary food permit
  • Vendors distributing food at their booth must have all menu items approved by the committee.
  • Vendors must use compost-friendly serve-ware and cutlery. All of Chinet’s “classic white” paperware can be composted and can be purchased at most retailers (Sam’s Club, Costco, etc.). If you already use paper products, make sure they do not have a plastic film on them. If you are providing plastic containers, make sure they are number 1 or 2.
